randstad sourceright has a fantastic opportunity for an Executive Assistant that will support the Sourceright senior leadership through co-ordination all administrative including, but not limited to:

Scheduling:

• Diligently manage the calendar of the Senior leadership; including scheduling/rescheduling of all meetings and appointments as required (both internal and external);
• Arrange catering and booking of meetings rooms as required;

Written Correspondence:

• Manage all incoming correspondence, whether by mail, internal memos, email, fax or courier, for both yourself and the X, including:
• reading, analyzing, prioritizing and printing for review as required;
• tracking and follow up based on priority; responding as advised;
• prepare agendas, record minutes of meetings, compile, transcribe, and distribute minutes of meetings.
• co-ordinate the preparation and submission of reports to executives, committees and board of directors.
• as required, conduct research, prepare statistical reports and handle information

Telephone:

• Take clear, concise and accurate phone messages
• Provide friendly and timely service to the caller;
• Reviewing voicemail and transcribing voice mail messages as requested

General Administration:

• Keeping abreast of up to date information on randstad sourceright business and its management team, to maintain an informed picture of the organization;
• Expanding and updating professional knowledge and training skills including computer skills in order to enhance individual and team productivity and adjust to changing environments and new technologies.
• Personally arrange travel, hotel, and car reservations, preparing travel itineraries, expense statements, etc.
• Provide accurate word-processing support by composing and/or editing a variety of documents. This includes many highly confidential correspondence, memoranda, contracts and proposals.
• Maintain a well-organized filing system that permits easy reference and rapid retrieval of information.
• Coordinating information and arranging preparation of presentations for speaking events;
• As and when required, making online registrations for participation at conferences, seminars etc.

Education & Experience:

• Diploma in related field
• 7+ years of experience in professional administrative occupation
• Advanced level in Microsoft Office Applications – Word, Excel & Powerpoint & Visio

Nice to have skills:

• Bilingual (English & French) would be an asset
