Reporting to the Vice-President of Global risk management and 2 other directors , your role consists of taking charge of activities related to the administrative support of the business sector with rigor and professionalism.

Responsibilities
• Manage the agenda of certain team members by organizing complex meetings, managing scheduling conflicts and ensuring necessary follow-ups;
• Plan and organize business trips: authorizations, reservations, logistics, etc.;
• Prepare and review expense accounts and do the necessary follow-ups;
• Make various reservations and registrations (restaurants, conferences and any other internal or external event);
• Coordinate the obtaining of signatures of legal documents via DocuSign and carry out the necessary follow-ups;
• Coordinate and organize team meetings;
• Register external visitors and welcome them;
• Collaborate in updating internal processes and procedures and participate in various files by collaborating with the resources of the administrative team;
• Perform various support tasks: ordering supplies, mail, messaging, etc.;
• Support the team in reviewing translations of documents (English-French) or PowerPoint presentations;
• Coordinate the completion of projects facilitating team collaboration, for example organization of team SharePoint, monitoring the progress of team projects;
• Maintain cordial business relations with internal and external partners;
• Be available punctually outside normal working hours to manage an urgent situation
• Accomplish any other related task that may be entrusted to her/him.
Qualifications
What you bring
• College diploma in administration or other relevant studies;
• Minimum of ten (10) years of experience in an administrative support role;
• An equivalent combination of education and experience may be taken into consideration;
• Strong knowledge and interest in different technological tools;
• Excellent command of French and English*, both oral and written;
• Excellent command of the Microsoft Office Suite and knowledge of the Concur system, an asset.
