Responsibilities
Administrative Management: Manage and oversee all administrative tasks, including scheduling, record-keeping, and correspondence with patients, practitioner and various organizations ie. MVA, WSIB, VAC, lawyers etc.
Patient Interaction: Greet patients warmly and assist with intake forms and documentation while directing inquiries to appropriate team members.
Scheduling: Manage the appointment calendar and coordinate schedules with therapists.
Billing and Payments: Process payments, issue receipts, assist with insurance claims, billing inquiries, and follow up on outstanding payments.
Inventory Management: Monitor and restock supplies, ensuring inventory is tracked and maintained.
Patient Records: Maintain accurate patient records in the EHR system while ensuring patient confidentiality.
Marketing Support: Distribute promotional materials, assist with social media updates, community events, and collect patient feedback.
Technology and Equipment: Operate and troubleshoot office equipment and report any IT issues.
Administrative Duties: Answer and direct phone calls, maintain a tidy reception & clinical area, and perform clerical tasks.
Document Creation: Initiate documentation based on specific programs such as WSIB, MVA, and VAC. Ensure accurate and timely completion of required paperwork.
Customer Service: Address patient needs promptly and ensure a comfortable patient experience.
All Front Desk Responsibilities: Perform all duties outlined for the front desk role as listed above.
Other administrative duties as needed
Qualifications
4+ years working in an office environment (in Administration or Senior role in reception)
Excellent customer service skills
Intermediate/Advanced with MS Office and quick to learn new software
Professional
Multitasker
Works well under pressure
Previous experience working in a medical clinic or health industry is a HUGE plust!
