Responsibilities
Duties will include but are not limited to:
- Arrange schedules for senior leaders, prioritizing meetings and resolving any conflicts.
- Create documents, presentations, and reports, which may involve conducting research.
- Process invoices promptly, ensuring they undergo review and receive necessary approvals.
- Order office supplies.
- Maintain orderly filing systems, both electronic and paper-based, for easy information retrieval.
- Format outgoing correspondence and assist with new employee orientation.
- Coordinate travel arrangements for team members.
- Record, transcribe, and disseminate meeting minutes.
- Prepare and submit expense reports for both leaders and staff.
- Ensure timely handling of customer inquiries and complaints, escalating issues as required.
- Assist leaders in fostering a positive work environment by organizing milestone anniversary events.
- Undertake additional responsibilities as assigned.
Qualifications
- At least 2 years experience in an Executive Assistant role
- Organizational and administrative skills required to perform activities in a deadline-driven environment, working with constant interruptions.
- Excellent command of the English language (verbal and written).
- Proficient in Microsoft Office (MS Word, MS Outlook and MS Excel)
- Ability to receive direction from multiple individuals
- Ability to deal with varying personalities of internal and external clients
- Strong attention to detail
- Previous office experience is required
