Responsibilities

Reception:
• Welcome and support visitors to the office in a professional, courteous manner.
• Answer calls and redirect them accordingly.
• Track and provide temporary badges to visitors.
• Assist with employee onboarding logistics.
• Sorting and distributing mail and managing local mail shipments.
• Provide administrative support as required.
Administration, logistics & projects:
• Work in collaboration with various departments for:
• Visa applications, travel arrangements and expense reports as required.
• Logistics, greeting and support for external visitors.
• The liaising with our international offices and employees to help with local/international requirements.
• Document Handling - Import / Export document package - receiving, replacing documents, and sending out to banks - coordination with Treasury / Trade Finance and Operations teams.
• Filing of Legal documents.
• Play a key role in planning and organizing social events and activities for Targray employees.
Building:
• Update and maintain the Head Office seating plan.
• Maintain an adequate inventory of office supplies for Head Office.
• Maintain reception area, auditorium, and meeting rooms to a high standard.
• Be the first point of contact for any room issues, providing a prompt and appropriate response and working to determine a timely resolution.
• Support the chef, as needed, with the ordering of the food / logistics of the bistro and any other related task.
Qualifications
Requirements
• Minimum of three years of experience in a reception/administrative support role.
• Superior verbal and written communication skills.
• Excellent telephone manner.
• Ability to constantly re-prioritize tasks and manage time effectively.• Professional demeanor and presentation
.• Knowledge of administrative and clerical procedures.
• Organized and detail oriented with the ability to interact professionally with individuals at all levels of the organization.
• Ability to work independently and in a team environment.
