Responsibilities
-Greet customers in the showroom upon entry.
-Manage incoming phone calls, including call screening, and directing calls to the right point of contact.
-Operate an 8-line switchboard with other receptionist.
-Welcome and sign in all guests and staff.
-Assist in receiving and organizing front office deliveries.
-Handle mail and shipments efficiently.
-Maintain the appearance of the lobby and reception area.
-Support the marketing team with seasonal mail-outs.
-Assist with front office administrative tasks, including invoicing and ordering office supplies.
-Prepare and mail invoices and catalogues to clients.
-Manage mailouts for customers, including swatches .
-Contribute to the ordering of office supplies, seeking input and feedback from team members.
-Maintain the tidiness of the front area, including stocking the snack stations and boardroom mini fridge.
-Perform other responsibilities and tasks assigned by management.
Qualifications
-Minimum 2-3 years experience in reception or relative administrative position
-Must be willing to work one statutory holiday per year (time and a half compensation).
-Ability to multitask effectively, including handling 8 phone lines.
-Highly organized with exceptional attention to detail.
-Experience with VOIP (Voice Over IP) systems is considered an ASSET.
-Strong verbal and written communication skills.
-Excellent interpersonal skills and a customer service-oriented attitude.
-Productive and efficient in a fast-paced environment.
-Energetic, upbeat, and a team player.
-Proficient in MS Office Suite.
-Knowledge of SAP is an asset (but not required).
