Responsibilities
As a Bilingual Service Coordinator in Brossard, your responsibilities will include:
- Preparing and reconciling invoices and billing activities in line with approved work orders for prompt customer billing;
- Managing all incoming timesheets, coordinating missing work orders before uploading them into the system;
- Handling discrepancies and revised timesheets, when necessary;
Issuing work orders to technicians and closing work orders as needed;
- Managing the workflow of work orders, including creation, delegation, and closure activities to ensure accurate invoicing;
- Supporting account managers, project managers, and field staff to actively maintain client satisfaction through frequent communication;
- Maintaining and updating document control records and tracking project management procedures: change orders, as-built plans, and closeout documents;
- Handling incoming calls, redirecting, transferring, and taking messages as appropriate;
- Providing updates on the status of ongoing work, supporting project forecasts, cost control, and Plan Group’s T.I.M.E. efficiency program;
- Creating purchase orders for field materials and equipment;
- Coordinating equipment, material deliveries, and subcontractors, as necessary.
Qualifications
The ideal candidate for the Bilingual Service Coordinator position will have:
- Post-secondary education and at least one year of experience in the electrical field; trade experience is an asset.
- Proficiency in Microsoft Office, MS Project, and Excel; experience with SalesForce is an asset.
- Strong communication and organizational skills.
- Proven ability to manage multiple priorities simultaneously.
- Advanced spoken and written English to interact with an anglophone clientele, which represents over 80%, as well as to facilitate communication with other departments based in Toronto.
