Our client in Ottawa has an opening for an administrative professional to join their team on a full-time basis. They are a well-known rental company – with locations across Ottawa and Montreal ! This is a Monday to Friday, 7:00 AM to 5:00PM (flexibility with shifts as long at 8.5 hours are completed) .

Responsibilities
Provide administrative, warranty, and invoicing support;
Perform assigned tasks with attention to detail and effectively organize all documentation within Company software;
Assist in the scheduling, dispatching and coordination of road service technicians;
Run daily reports to monitor business functions;
Operates as the direct liaison between staff and customers;
Provide repair and service quotes to customers;
Ensure technicians parts are ordered and allocated to proper equipment;
Enter work orders for internal machines;
Allocate parts to specific work orders;
Monitor and track outstanding parts orders;
Run daily reports to monitor business functions;
Responsible for communicating with Regional Service managers to facilitate the movement of equipment between branches that needs to be repaired, based on the location best equipped to complete the task;
Submit and process warranty claims for various manufacturers;
Monitor and maintain parts inventory for both internal and external repairs; facilitate with suppliers to order and stocks parts;
Qualifications
The ability to provide excellent customer relations while keeping a positive attitude;
Proficient in organization and process fulfillment, attention to detail, and paperwork organization;
Excellent communication and people skills on both an internal and external level;
Previous experience working with technicians and in a similar and/or related parts environment;
Knowledge in the creation of parts orders and work orders, developing and receiving purchase orders, inventory management, and estimate preparation;
The ability to adapt to on-call work schedules;
Efficiency in Microsoft applications, specifically: Outlook, Word, and Excel;
