We are currently seeking a dedicated Administration/Accounts Payable Coordinator to join our growing team. This is a fantastic chance to build your professional profile within a dynamic and reputable organization, considered a premier source for engineered-to-order solutions.
You'll play a crucial role as the primary point of contact for accounts payable and general office administration. This position is a blend of duties, with 75% focused on Accounts Payable and 25% on reception and administrative tasks. Responsibilities
- Perform primary Accounts Payable duties (75% of the role), including printing and coding invoices, entering invoices into the accounting system (ETO), tallying invoices for cheques/EFTs, and filing paid invoices.
- Courteously receive and screen all in-bound calls, emails, and visitors as the first point of contact.
- Manage the reception area, including unlocking/locking the front door.
- Pick up and distribute all incoming and outgoing mail.
- Maintain and monitor office supply inventory and place orders as required.
- Maintain bookings and schedules for boardrooms.
- Act as the point of contact for company cell phones (ordering, setup, resets).
- Assist other departments with administrative tasks like printing, binding, or ordering lunches.
- Keep track of all NDAs.
Qualifications
- A minimum of 2-5 years of experience in Accounts Payable and/or Administration.
- Post-Secondary education in Business Administration or Accounting or a related field is preferred.
- Experience from a heavy manufacturing environment is a strong asset.
- Expert skills in Microsoft Office (Outlook, Excel, Word) and a solid working knowledge of accounting systems.
- Prior experience with an ERP system is highly beneficial (training provided).
- Effective attention to detail and a high degree of accuracy
- Strong problem identification, analytical thinking, prioritization, and execution skills.
- Strong communication skills (clear, concise, with warmth and a sense of urgency).
- Proven ability to work both individually and as part of a team.
