We are currently looking for an Administrative Assistant to support Canada's largest energy distribution company in Chatham Ontario. If hired you will work full-time hours on a 6 months assignment (beginning ASAP), be paid $21.79 per hour, and be responsible for supporting day-to-day activities for a group of partners, including the following:

● Provide administrative support to Finance Directors/Managers within the Chatham office.
•Provide administrative support and assistance to Finance Directors/Managers within the Chatham office.
●Support and be flexible to Finance Directors/Managers team as required by providing timely, accurate information, assistance on a daily basis.
•Manage the calendar and priorities for Finance Directors/Managers on a daily and ongoing basis.
•Administer team correspondence relating to various events.
•Organize department events such as potlucks, town halls, etc.
•Arrange conference rooms, audiovisual equipment, live meetings, video conferencing and calls.
•Schedule meetings as requested by internal and external parties; assist with internal event planning and coordination for these meetings.
•Coordinate/book travel arrangements for Finance Directors/Managers
•Follow up and monitor weekly travel arrangements; address any conflicts in schedule. Proactively seek conflict in schedules and address these issues before coming to fruition.
•Process expense reports for the Finance Directors/Managers.
•Ongoing file maintenance.
•Liaise with high-level internal and external parties (e.g. parent & affiliate companies, external customers) where necessary.
•Apply advanced knowledge of PC applications: Microsoft Office, Word, Excel, PowerPoint, Outlook, etc.
•Assist in development of presentations as necessary.
•Ensure confidentiality when handling sensitive material.
•Other adhoc reporting requests and assistance with other special projects to support other team members as required.

•Post-secondary education or equivalent work experience.
•5 years’ experience in an administrative role.
•Proficient computer skills (Excel, Word, PowerPoint, Outlook).
•Ability to work independently and prioritize numerous tasks while supporting 4-5 directors/managers.
•Enthusiastic attitude and ability to work well in a team environment.
•Effective problem solving and management of confidential information.
•Excellent organizational skills.
•High level of attention to detail and commitment to quality results
•Promote an inclusive environment of team work, supportive culture, and diversity within the office.
•Strong verbal and written communication and organizational skills are required in order to deal with staff, suppliers, contractors and districts on daily basis.

•Post secondary education in Office Administration preferred.
•Experience working with SAP
•Experience with oil and gas industry recruitment an asset.
