Our client in Pointe Claire is currently looking for an administrative assistant to work on a contract for the next 17 weeks with the possibility of permanency.

Additional responsibilities of this role will include (but are not limited to):
 Maintain the budget; which includes auditing items, reviewing the weekly and monthly time
tracking reports for anomalies
 Recognize financial terminology and understand what can have an impact on a project budget
 Support the PMO office in monitoring and controlling the budget and ensuring all invoices
have been approved
 Monitor, maintain and report all costs related to the Professional service organization
including third party vendors, equipment, events, etc.
 Event planning and coordination for Professional service team
 Assist with travel arrangements for Professional service team members
 Train & coach new and existing team members on internal project procedures for the
Professional services team
 Provide other administrative support to Field Service Executives
 Participate in weekly status meetings
 Facilitate and prepare any documents related to clients monthly invoices then handoff to

 Communication of client invoicing and POs with administration team using accurate
professional services data extracted from timesheets, expenses, SOWs etc., within a timely
 Assist in maintaining project documentation and application/system libraries
The ideal candidate is someone with excellent communication skills; has the initiative and
resourcefulness plus the demonstrated ability to work without supervision.
The ability to “think outside the box” and have the tenacity to succeed despite obstacles would be a
definite plus.

Monday - Friday 8:30AM-5PM

 2-5 years of previous experience in related role
 Strong focus on prioritization and organizational skills
 Word, Excel, Powerpoint
 Strong desire to be in the communications or sales industry

 Is logical, work-oriented, and analytical
