We are currently looking for a Administrative Assistant to support a globally recognized accounting firm in Quebec City. If hired you will work full-time hours on a 3 months assignment (with the possibility of perm), be paid $24.48 per hour.

● Provide administrative support to the office to a team of internal clients. For this position about 15 to 20 first directors.

•Booking of rooms and restaurants, organization of conference calls, videoconferences, internal or external meetings, reacting to changes of priorities, coordinating logistical aspects and preparing the necessary equipment.
•Provide streamlined and life-cycle support for clients, including expense claims and invoices
•Print, track various documents, manage print and send requests
•Preparation and booking of trips by managing costs: make reservations in advance, prepare itineraries, coordinate last-minute changes (flights, car, hotel, communication with the team), maintain the profiles of travelers, help implement guidelines, handle passport and visa issues, etc.
●Preparation of expenditure reports
●Filing documents
●Supplier invoice processing
●Preparation of transmission letters, congratulatory letters, formatting Excel documents, etc.
●Create tickets in different systems and ensure that documents will be produced in a timely manner
●Research to find solutions to internal customer issues
●Finalization and sending of documents
●Ensure compliance with policies
●Assembly of tax documents in support of the team
●Data entry in different systems

• At least 0-2 years of experience in customer service or administration in a professional and dynamic service-oriented environment;
• Outstanding commitment to customer service and continuous improvement;
• Ability to manage highly confidential information; conciliation and discretion are essential in this position;
• Demonstrated ability to prioritize tasks according to their relative importance and urgency;
• Ability to work with a minimum of supervision and direction;
• Excellent oral and written communication skills;
•Attention to detail;
• Ability to make effective decisions;
• The ability to communicate with confidence and active listening are essential;
• Excellent interpersonal skills and proven ability to build effective relationships and work collaboratively within a team;
• Demonstrated enthusiasm for lifelong learning adapted to this role;
• Excellent knowledge of widely used software at the sector level such as Concur, Microsoft Office (Word, Excel, Outlook and PowerPoint) and Adobe Acrobat;
• Bilingualism (English and French)
