As an Administrative Assistant in Nun's Island, you will be responsible for performing administrative tasks related to operations of the building, (purchase orders, invoices, insurance), to deal with questions related to the services given to tenants, to help update press releases and to perform other specific tasks.

Responsibilities
What your day will look like working as a Administrative Assistant in Nun's Island:
• Respond cordially and effectively to telephone calls and to customers, tenants and suppliers presenting themselves at the administrative office and forward messages to the persons concerned.
• Open the mail and redistribute it to the people concerned. Send to regional offices weekly.
• Respond to tenant service calls and follow up with superintendents
• Produce and send all correspondence with tenants by email, letters, memos, etc.
• Communicate with suppliers to keep each supplier's insurance file and CNESST compliance certificate up to date.
• Collect and maintain proof of insurance from tenants in accordance with leases
• Run monthly reports on credit cards, Visa and Amex, make entries in Yardi.
• Make all pertaining reservations for trade shows, hotels, flights, for all staff.
• Administer all birthdays, corporate gifts.
• Carry out regular follow-ups for annual reports of alarm systems, sprinklers, drills, evacuation, fire safety plan.
• Assist the construction manager in his tasks: emails and calls to suppliers / tenants, provide purchase order, make equivalent invoices, file follow-up, etc. Monitoring and approval of Capex.
• Invoice tenants for work or repairs carried out for them.
• Create and complete purchase orders with related documents. Make name changes.
Follow up on contracts. Signage in buildings
• Order uniforms and corporate clothing.
• Collaborates with the marketing department.
• Manage office supplies, reception, computer equipment, card access system and telephone system.
• Prepare the summary of hours worked with ADP every two weeks
Qualifications
What is required to be the selected candidate:
• Post-secondary education preferred;
• Experience in a field related to real estate would be an asset;
• Bilingualism (French and English) orally and in writing;
• Experience of at least two years in administration;
• Passion for the industry and desire to build a long-term career in it;
• Highly organized, meticulous and comfortable working in a
dynamic work environment where deadlines are tight;
• Strong communication and interpersonal skills and great ability to multi-task;
• Excellent customer service skills always aiming to exceed expectations;
• Dedicated person who works well in a team and who likes to have fun at work;
• Knowledge of Microsoft Office, (Word and Excel);
• Experience with Yardi or Angus systems will be considered a
asset;
