Responsibilities
What your day will look like as an Administrative assistant to the executive department in the cultural field in Downtown Montreal:
- Assist the Executive Director with daily administrative tasks;
- Writing, typing and formatting of various documents;
- Assist in the preparation of presentations, conferences and ensure follow-ups;
- Answer phone calls and greet visitors;
- Ensure the maintenance, management and archiving of files and documents;
- Organize, coordinate and manage the agenda;
- Organize, coordinate and manage the agenda; Ensure the efficient filing of management files;
- Organize and manage meetings, conferences and special projects and ensure follow-ups;
- Ensure high quality communication and support to internal team members and partners;
- Assist the Executive Director at meetings, receptions and formal presentations;
- All other related tasks.
Qualifications
Do you have what it takes for this position of Administrative assistant to the executive department in the cultural field in Downtown Montreal?
- Bilingualism is mandatory (French and English, spoken and written);
- College diploma in administration, management or equivalent with a minimum of 5 years experience in a similar position;
- Good knowledge of Macintosh systems (Microsoft Word, Excel, PPT, Keynote);
- Strong writing and communication skills;
- Excellent organizational skills, good management of priorities, resourcefulness, proactivity, responsibility, thoroughness and professionalism.
