Are you an experienced, motivated and highly organised individual looking for that exciting next opportunity?

Here in Victoria a large pharmaceutical company is seeking a top Administrative Assistant to provide support to the clinical operations team

****** This is a contract temporary position for five months that could become permanent*****

Responsibilities:

• Provide general admin support
• Assist with travel booking and calendar management
• Assist with regulatory trial management and preparation
• Collect, review and track specified site regulatory documents
• Follow project plans and time lines for assigned areas of responsibility
• Organize and maintain the archiving of regulatory documentation for studies assigned
• Assist with travel bookings
• Work with internal clinical personnel and external consultants to complete summaries, reports and documents needed for submission to regulatory authorities
• Follow project plans and time lines for assigned areas of responsibility
• Organize and manage the logical archiving of all regulatory filings within the company
• Maintaining the document system, training records, job descriptions and CVs
• Manage the audit filings and notify vendors when due dates are reached
• Complete data entry for reports and submissions
• Interact with vendors for document or technical requests

Experience:

• Highly developed Attention to Detail (essential)
• Willingness to work with a highly regulated environment (essential)
• Excellent written and verbal communication skills (essential)
• Minimum 2-5 year experience in an administrative role, working in the pharmaceutical industry (preferred)
• Proven, first-hand experience of working in a fast-paced team environment.
• Proven organizational skills
• Ability to establish work priorities and remain flexible
• Proficiency with MS Office including PowerPoint
• Ability to adapt to new systems and processes
• Strong interpersonal skills
