Our client, a major property management group in downtown Montreal, is looking for a receptionist-administrative assistant for their administrative offices where members of management meet.
Salary: 50,000 -$55,000 annually + benefits
Position: permanent face-to-face located near McGill metro station.

Responsibilities
RECEPTION TASKS
Ensure kitchen and conference room is stocked – coffee, Nespresso/Keurig capsules, milk/cream, sugar, water/Perrier bottles, pen and notepads, etc.
Ensure reception area is presentable and organized (fill business cards, envelops, … when needed)
Greet visitors and announce arrivals
Handle incoming calls – screen calls for the owners, take messages and transfer them
Manage calls from tenants – give messages
Open and distribute incoming faxes
Open and distribute mail
Send outgoing mail and couriers (ex. FedEx, Atomic, Registered Mail, Express Post, etc.)
Ensure sufficient supplies for couriers are on hand and order/purchase when needed
At end of the day, load dishwasher and start the machine before leaving
Manage boardroom calendar and notify organizers if double booked
Prepare and send out memos
Ensure stamp machine is functional (funds, ink)
DATA ENTRY
Enter and distribute Daily Deposits spreadsheet
Manage Hydro / Gas invoices and payments
Enter and distribute AR Report (Data entry for accounts payable invoices
Make P.O. (Bits & Bytes, Lithosol etc…)
Print and attach P.O. (when not attached)
Make online payments or cheques
MISCELLANEOUS
Security sheets – file them
Scan documents
Manage printer – invoices and toners
Maintain office supply inventory (Bits & Bytes) - (Staples)
Manage service calls to Voysis or CT Copieur
Print documents (
Birthdays – stock on cards and ensure it is signed by everyone
Qualifications
- Bilingualism required
-Minimum of 5 years of experience in a similar role
- Excellent customer service,
- Discretion and diplomacy
