Advantages
- Permanent position Monday-Friday
- Schedule: The regular work week is forty (40) hours a week, Monday to Friday, from 8:00 a.m. to 5:00 p.m.
- Salary depending on experience
- Remote work: This is a hybrid position. The employee will have to work from the Valleyfield office 3 days a week and can work the rest from home. The cadence will be established with the leadership.
- Company laptop/phone provided for work at home set up
- Profit Sharing / bonus structure (depending on performance)
- 3 weeks vacation + 5 sick days
- Insurances (medical/dental)
Responsibilities
Under the direction of the VP Operations & HR, the candidate will carry out administrative tasks related to operations and HR. The candidate supports the whole operations and HR team. The candidate will document procedures and keep them up to date. They will also deal with all manner of requests related to their role.
Ops Tasks (85%)
o Respond to inquiries received by phone, email, "Teams" and, if necessary, refer to resource people;
o Follow up on reports and perform related data entry;
o Document procedures and update them;
o Process, write and follow up on requests from different departments (or employees);
o Write, prepare and process correspondence, decision summaries, notices, minutes, memos, according to instructions received;
o Perform administrative tasks related to the Occupational Health and Safety Committee;
o Perform data entry for the daily operation report;
o Be in daily communication with our various distribution centers (and their managers);
o Check stationery, service supplies and ensure that they are in sufficient quantity and place orders when required;
o Perform any updates to existing SOPs;
o Mail (physical);
o Track certain shipments (shipments) and maintain tracking log for key customers;
o Perform any other tasks related to his areas of responsibility.
HR Tasks (15%)
· Creation of new employees in the system (payroll and group insurance);
· Prepare job offers and ensure that the new employee's file is completed;
· Train the new employee on our portal (payroll);
· Act as a backup (when required) for payroll processing;
· Perform any other tasks related to his areas of responsibility.
Qualifications
- Education/Training
o High School
o Post-secondary would be considered an asset.
- Experience
o One year of administrative experience;
- Expertise
o MS Office Suite and Access;
o English & French – written and oral
- Personal competencies
o Know how to convey information effectively;
o Understand and respect "sensitive" and "personal" information related to the function;
o Interpersonal communications;
o Attention to detail;
o Be organized;
o Action orientation; and
o Customer orientation (internal and external).
