job description

We are currently looking for a Administrative Assistant to support a globally recognized accounting firm in Quebec City. If hired you will work full-time hours on a 9 months assignment (with the perm opportunity), be paid $16.78 per hour.

• Digitization and electronic filing of files
o Registering folders in Google
o Checking compliance of records according to the company standards
o Digitization, verification and electronic filing of files
• Electronic mailings of various documents
• Office supplies
o Maintenance of inventory and orders for office supplies
o Place office supplies, printer paper and photocopiers at designated locations (3 floors)
• Computer peripherals
o Maintenance of inventory and orders of computer peripherals
o Follow up of the order procedure and the computer registry
• Mail
o Mail sorting and sorting
o Distribution of mail (3 floors)
o Preparation and franking of postal mail
• Conference Rooms - Casual (on request)
o Development, preparation and storage of conference rooms before and after meetings
? Order of meals when required
• Reception (occasional replacement - Short breaks and absences)
o Greet customers
o Answering the phone and directing calls
o Prepare mail shipments (FedEx, DHL, etc.)
o Management and routing of faxes (faxes) to designated persons
o Verification of conference room reservations
• Printing and assembling documents
o Printing, assembling and editing different documents (financial statements, reports, service offers, etc.)

• At least 0-2 years of experience in customer service or administration in a professional and dynamic service-oriented environment;
• Outstanding commitment to customer service and continuous improvement;
• Ability to manage highly confidential information; conciliation and discretion are essential in this position;
• Demonstrated ability to prioritize tasks according to their relative importance and urgency;
• Ability to work with a minimum of supervision and direction;
• Excellent oral and written communication skills;
