We are currently seeking a top Contracts Administrator/Conveyancer for our client within the real estate and property industry here in Victoria, BC.

This position is a key part of the Conveyancing team, and can take part at any of the offices in the Victoria region, or can even be done virtually!

This team member is someone who is professional, hardworking and willing to take the initiative to learn and grow within the company. This position could also be combined with aspects of front desk and greeting and assisting clients, for those who enjoy the variety and combination of people-facing and data administration work!

Opportunity: Full time, permanent position
Location: Victoria BC
Hours: Monday-Friday, 9.00am - 5.00pm (flexible hours can be accommodated)
Salary: $40,000 - 50,000
Start: As soon as possible

Key Responsibilities:

Contracts Administration
• Reviewing contracts for completeness and accuracy;
• Entering contract information into central database;
• Logging and tracking key information and key dates;
• Taking timely action at key dates and at set points; such as release of funds, communication with lawyers;
• Ensure all paperwork is organised, complete and correct.

Front Desk (as an option)
• Provide a warm and professional welcome to all staff and guests, greeting visitors, attending to their needs and those of the Realtors;
• Manage a multi-line phone system, answering calls in a friendly and professional manner, taking messages, directing or transferring the calls as needed;
• Ensure reception, client rooms, kitchen and common areas are clean, tidy, equipped and professional;
• Manage supplies and vendors including computers, printers, postage machines, paper, coffee, etc.;
• Upload provided content (including announcements) to social media including Facebook, Instagram, websites, etc.;
• Manage and update documents, process information using online resources and Google Drive; and other duties as assigned.

You have:
• At least 2 years' experience as an Administrative Professional with a background in a transactional role using multiple types of software to carry out financial or other processes; such as conveyancer, legal administrator, medical administrator, logistics agent, bank teller, mortgage officer, etc.;
• Superior communication skills, ability to communicate effectively with clients and Realtors;
• The ability to work collaboratively with other staff as a team member while serving Realtor needs;
• High accuracy and attention to detail;
• Organised with the ability to track and handle lots of moving parts.

• Starting salary offered between $40-50,000
• 2 weeks vacation to start, 3 weeks after one year
