Our client in the pharmaceutical industry is looking for a Document Specialist II to join the team. You will work full-time hours and earn up to $28 per on a 12-month contract (with the possibility of extension), and be responsible for the following:

•The Documentation & Archiving Administrator provides support to Analytical Sciences Toronto for the coordination, compliance, and maintenance of GMP documentation systems, electronic databases, and archiving
•Follow-up (to ensure accuracy and completeness) of records, status reporting, and user support across the department.
•Documentation issuance and maintenance (45%):
o Collaborate with the Analytical Sciences platforms to fulfill requests for issuing controlled worksheets, logbooks, and lab notebooks
o Update, track, and monitor electronic databases for accuracy and completion of records
o Develop, maintain, and improve tracking spreadsheets and processes
o Identify gap/issues and propose resolutions
o Support the update of quality documents and other system documents
•Archiving activities (45%):
o Perform archivist functions; this includes archiving documents, logbooks, data binders, lab notebooks, training records, etc.
o Retrieve and sign out documentation to the platforms
o Perform reconciliation activities following Good Documentation Practices and adhering to guidelines and procedures
•Fulfill platform requirements and initiatives (10%):
o Support preparation activities for audits and self-inspections as needed
o Participate in continuous improvement of quality systems
o Create PowerPoint presentations

• Earn a competitive rate up to $28 per hour
• Work full-time hours on a 12-month assignment (with the possibility of perm)
• North York Location

• Bachelor of Science or Arts Degree
• Previous experience working in a compliance environment
• Working knowledge of Word, Excel, PowerPoint, Outlook, and Visio
• Able to work independently and in a team environment
• Strong organizational skills, attention to detail, and analytical skills
• Strong written, verbal, and interpersonal communication skills
• Strong project management skills including organization, time management, and follow-up
• Works within the policies, procedures, and regulations as required by the Company and under the Occupational Health and Safety Act.
• This position supports the Analytical Sciences Toronto Department. Frequent collaboration is required within the department and with the IA Records & Systems Office (R&SO)
• Technical expertise/problem resolution in software applications is expected
• Ensure timely responses, adherence to deadlines and urgent requests
• Office environment, visual concentration (computer and paper documentation)
