Are you a dynamic executive assistant with a fair office and personal management background? Our partner, a company that is fast-growing global leader Internet Company is currently looking for executive assistant partner for a permanent position in Downtown Montreal.

As an executive and personal assistant, your main responsibilities will be:
• Clear out V.P. & Controller’s outbox on an hourly basis
• Managing the CEO’s professional and personal calendar, meeting requests and appointments
• Act as the first point of contact with internal and external vendors
• Filter mail, screen phone calls, inquiries and requests, and handling them when appropriate;
• Meeting and greeting visitors at all levels of seniority;
• Dealing with incoming email, often corresponding on behalf of the CEO;
• producing documents, briefing papers, reports and presentations;
• File and organize documents of highly sensitive nature, devising and maintaining office systems, including data management and filing.
• Office Management (managing suppliers, ordering supplies, snacks for team, etc)
• Managing the expense reports
• Coordination of high volume travel arrangements
• Maintaining CEO’s calendar, scheduling meetings, and booking appointments
• Conducting and compiling research
• Preparing reports and presentations
• Managing expenses, and bill-paying
• Event planning (corporate and personal)
• Managing the CEO’s household staff and contractors.
• Running errands
• These tasks expected of the EA are not limited to office work, part of the work may be remote, and is at the mutual agreement of the CEO and the EA.

What is necessary for the position?
• Computer literate - MUST be skilled in the use of Google Suite
• Integrity, discretion and honesty
• Working knowledge of accounting principles
• Experience as an Administrative Assistant – 2 to 3 years
• Highly organized
• Excellent English verbal and written communication skills
• Service-oriented
• Excellent problem-solving skills
• Proven team player who is both flexible and highly adaptable
