Responsibilities
-Calendar management for both the Executive Director’s Calendar and the Board of Directors calendar.
-Will work with the Executive Director and communicate directly on their behalf, as well as provide a bridge for all communications and commitments to the board members and other staff.
-Responsible for Coordinating Events and Meeting Management [venue, food, etc.] for the Executive Director
-Will work alongside the Executive Director to prepare agendas for all internal meetings and take minutes, post minutes and distribute reading materials.
-Manage and complete expense reports and reconcile VISA receipts as required.
-Oversee the full spectrum of administrative operations by directing and coordinating administrative functions, to include office clerical and support services, mail distribution and messenger services, and telecommunications.
-Coordinate the on-line and off-line storage management of the organization’s records, documents and files.
-Gather information, data and basic primary research to inform internal and external reports as needed.
-Ensures that they maintain reporting schedules as per the reporting requirements of funders, such as the Ministry of Community and Social Services, Canada Revenue Agency, and United Way.
-Assists with the onboarding of new staff as needed
-various general administrative duties as needed
Qualifications
-Strong verbal and written language skills to communicate as the main point of contact for other departments internally as well as with stakeholders
-Tech savvy and able to learn new software programs with a high proficiency in Microsoft Office.
-Minimum 2 years' experience in a relevant administrative role
-Strong organizational skills and work well in a fast-paced environment while meeting established deadlines.
-MUST be comfortable around pets (cats and dogs) as well as children
-Compassionate, kind, helpful and have willingness to assist others.
-Ability to work independently and part of a team
-Ability to speak a 2nd language is considered an asset
-Non for profit experience is considered an asset
-Must be vaccinated ( 2 doses )
