Responsibilities
Calendar Management: Manage and maintain executive calendars, schedule appointments, meetings, and conference calls. Ensure that executives are well-prepared for all engagements.
Travel Arrangements: Coordinate travel plans, including booking flights, accommodations, transportation, and preparing detailed itineraries.
Communication: Act as a primary point of contact between executives and internal/external stakeholders. Screen and prioritize incoming emails, phone calls, and correspondence.
Document Management: Prepare, review, and edit documents, reports, and presentations. Ensure accuracy and consistency in all materials.
Meeting Support: Assist in organizing and preparing materials for meetings, including agendas, presentations, and meeting minutes. Attend meetings as needed and follow up on action items.
Expense Management: Handle expense reports and reimbursements for executives, ensuring compliance with company policies.
Information Management: Maintain and organize confidential information, files, and records. Develop and implement efficient filing and data management systems.
Special Projects: Assist with special projects and research initiatives as requested by the executive team.
Qualifications
Bilingual oral and written
Proven experience as an executive assistant or in a similar administrative role.
Excellent communication and interpersonal skills.
Proficient in Microsoft Office Suite and other relevant software., Excel is very important
Strong organizational and time management abilities.
Detail-oriented with a high level of accuracy.
Ability to multitask and prioritize tasks effectively.
Adaptability and a willingness to take on new challenges.
Knowledge of the food industry is a plus.
