Our client is a Quebec-based incubator organization in several key industries (Aerospace and Aviation, Life Sciences and Human Performance, Urban Development and Smart City), in the Canadian and international economies that is looking to hire an Executive Assistant for their downtown Montreal office.
Advantages
- 37.5 hours per week;
- Hybrid mode (2x in the office and 3x at home) ;
- 3 weeks off (paid leave between Christmas and New Year's Day);

Responsibilities
Organize the various governance committees and the General Assembly
of Members :
➢ Preparation of the annual governance calendar;
➢ Correspondences with members of the various committees;
➢ Ensuring the commitment of governance members;
➢ Recruiting experts to evaluate projects;
➢ Recruiting new governance members;
➢ Data analysis for presentation to members;
➢ Preparing and sending appropriate documentation to members of each
of each committee;
➢ Prepare and then send official documents to departments;
➢ Managing the conduct of committees (monitoring quorum and agenda, note taking, telephone
agenda, note taking, telephone liaison with members present
by phone, viewing documents).
➢Organize and manage the corporate book (minutes, records, by-laws, articles of
by-laws, articles of incorporation, letters patent);
➢Review the organization's contracts and legal commitments;
➢Organization of governance events (AGM, Board of Directors and others...)
in collaboration with the events team;
Provide an administrative support role to the team and to the VP:
➢ Information coordination;
➢ Calendar management;
➢ Management of internal meetings;
➢Management of the ''info'' email box;
Qualifications
CRITICAL QUALIFICATIONS/COMPETENCIES
- Very strong verbal and written communication skills in English and French;
- Attention to detail towards precision and agile judgment;
- Highly resourceful and self-starter to manage workload and solve issues;
- Highly organized, ability to handle multiple tasks and leaders;
- Experience in providing assistance at the senior / executive level;
- Able to prioritize with changing requests in a fast pace environment;
- Must be a team player with superior interpersonal skills;
PREFERRED QUALIFICATIONS/COMPETENCIES:
- Working knowledge of Microsoft Office applications;
- Working knowledge of SAP;
