Our client, a company specialized in the transportation and energy sector, is looking to hire an Executive Assistant for their downtown Montreal office.
Advantages

Responsibilities
- Organization of the President's business trips;
- Effective administrative support to the President (calendar management, various administrative support, etc.);
- Ensures the rigorous follow-up, maintenance and updating of official documents of the business unit;
- Supports the team in the preparation (writing, translation and formatting, as appropriate) of various communiqués, presentations, forms, agendas and minutes of committees and various meetings, appointment notices and computer requisitions, and distributes them according to established standards. It
Ensures the linguistic quality and presentation of the documents in accordance with the graphic standards in effect;
- Translates documents from French to English and vice-versa or arranges for translation when appropriate;
- Collaborates occasionally with the President's Office of the other company on certain priority and ad hoc files and can provide support, when necessary, to the Executive Secretary - President's Office;
- Data Entry;
- Ensures that the quality standards of the various deliverables and filing systems are respected according to the standards established by the company (graphic standards, layout and quality);
- Coordinating team meetings, conference calls and management committees, and following up with the participants involved;
- Taking minutes of meetings;
- Responsible for inventory, logistics and office management, including management of keys, access codes and minor repairs, and maintains a good relationship with the building manager;
- Ensure that the work areas are clean and professional;
- All other related administrative duties;
Qualifications
- Professional or college training in secretarial, office automation or equivalent;
- Proficiency in Word, Excel, PowerPoint, SharePoint, Teams and Outlook, as well as the ability to learn other computer tools. Proficiency in image or photo editing software will be an asset;
- Excellent writing skills and very high level of proficiency in English and French;
- High level of professionalism, discretion and ability to maintain confidentiality of information;
- Relevant secretarial experience of at least 3-5 years in an environment that requires working with multiple people and on multiple projects simultaneously;
- Excellent interpersonal and communication skills (oral and written);
- Flexibility and availability;
