They seek a highly organized and proactive Executive Assistant who will work closely with the partner and other team members to complete confidential administrative tasks and ensure smooth day-to-day operations. In addition to the administrative responsibilities, you will play a key role in client management and act as the primary liaison to the team’s client base.
Hours are Monday to Thursday 9:00 a.m - 5:30 p.m, Friday 9:00 a.m - 3:00 p.m
(These hours may increase during March, April, and June tax season.- Overtime compensation will be provided)

Responsibilities
-anticipate the needs of the partner and provide administrative support to ensure the partner maintains a timely, reasonable, and organized schedule.
-manage calendars
-monitor email inbox
-screening and directing phone calls
-typing minutes
-gather, coordinate, and/or prepare the necessary information, materials, and resources for meetings and events
-serve as the primary point of contact for clients, maintaining a professional and friendly demeanor
-setup new clients on internal software and prepare new client acceptance forms
-track, update, and maintain client information, progress on client deliverables, and critical engagement deadlines in an accurate, organized, and efficient manner.
-file T1, T2, T3 and T4/T5 returns and financial statements, meeting all tax deadlines.
-register clients with CRA and serve as a liaison between the two parties; correspond with the CRA on a regular basis
Qualifications
-min 2+ years of executive assistant experience, specifically assisting a president and/or owner (experience working within a law firm is an asset)
-strong written and verbal communication skills
-proficient in MS Office suites, including Excel
-experience working with TaxPrep and CRA is an asset
-ability to work well independently, with minimal supervision, and under pressure in a fast-paced, deadline-driven environment.
-ability to take verbal directions and accurately execute these directions
-flexibility to work outside standard hours during important deadline season(s) – March, April, and June
