Responsibilities
-Provide high-level confidential administrative support
- Manage and maintain an extremely active calendar of appointments, schedules and complex travel arrangements
- Arrange & coordinate meetings/events (Board retreats, management dinners, etc.)
- Coordinate materials and communications as required for the Board of Trustees, Vital Healthcare Board Foundation
-Screen emails, archive and professionally compose replies/correspondence on behalf of the executive when required
- Approve and release wire payments on behalf of the executive in question
- Prepare reports, presentations (investor, Board, partners) and memos when required
- Prepare monthly expense summary - personal and business-related expenses
Liaise with Internal departments such as Accounting to ensure that they have all information
they need
- Prepare travel-related expense reports for other members of senior management & occasional Board of Trustee members
- Manage memberships & subscriptions and their renewals/payments on behalf of the executive
- Maintain both paper and extensive electronic filing system
- Enter all new business card information into Outlook contacts lists
- Maintain staff/employee files
- Maintain Petty Cash every month or when needed
- Liaise with internal staff at all levels when required
Qualifications
- 7+ years of executive-level support, preferably CEO/C-Suite levels
- Strong organizational skills that reflect the ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail.
-Strong interpersonal skills and the ability to build relationships with stakeholders including staff, board members and external partners
- Expert-level written and verbal communication skills, including the ability to ask clarifying questions and work with senior management, internal and external clients
-Superior customer service and interpersonal skills
-Proactive approaches to problem-solving and decision-making capability.
- Professional and pleasant demeanour, with a strong work ethic
-Proficiency in MS Office – Word, Excel, PowerPoint, Outlook, conference equipment and Board Software
-Organized and attentive to detail
- Ability to handle a variety of tasks and prioritize workload
-Strong adherence to confidentiality
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
-Forward-looking thinker who actively seeks opportunities and proposes solutions
