We are currently seeking a top Front Desk Administrator for our client within the real estate and property industry here in Victoria, BC.

While reception is a component of the work, the majority of the work is senior administrative support, assisting the team and Realtors with a broad scope of functions and projects. This team member is someone who is professional, hardworking and willing to take the initiative to learn and grow within the company.

FRONT DESK ADMINISTRATOR
Opportunity: Full time, permanent position
Location: Victoria BC, 10 minutes outside of Downtown
Hours: Monday-Friday, 9.00am - 5.00pm (flexible hours can be accommodated)
Salary: $40,000 - 50,000
Start: As soon as possible

Responsibilities:

Front Desk
• Provide a warm and professional welcome to all staff and guests, greeting visitors, attending to their needs and those of the Realtors;
• Manage a multi-line phone system, answering calls in a friendly and professional manner, taking messages, directing or transferring the calls as needed;
• Ensure reception, client rooms, kitchen and common areas are clean, tidy, equipped and professional;
• Manage supplies and vendors including computers, printers, postage machines, paper, coffee, etc.;
• Upload provided content (including announcements) to social media including Facebook, Instagram, websites, etc.;
• Manage and update documents, process information using online resources and Google Drive; and other duties as assigned.

Administrative Support Duties
• Respond to Realtor inquiries within one hour;
• Assist with onboarding of new Realtors and tracking license renewal dates;
• Order and inspects signage, banners, branded materials as directed;
• Provide land titles and corporation registration documents for Realtors upon request;
• Upload Realtor listing files;
• Send subject removal date and completion date reminders to Realtors as requested while helping to manage a calendar of key dates related to Conveyance;
• Assist Realtors with showing requests, drafting offers and agreements, providing neighbourhood activity updates;
• Assist Realtors with any office equipment and orders signage or services when requested;
• Enter new listings and trades into Lone Wolf at the rate deemed appropriate by Management;
• Send professional communications out to all Realtors and staff as directed;
• Assist Management with booking travel, event registration, classes, meetings and other tasks as assigned;
• Undertake financial transaction support including depositing cheques into Trust, matching invoices with expenses, logging expenses, calculating charges to Realtors including MLS fees, signage, events, etc.; and
• Organize events, registration, venues and vendors and update the events calendar and training calendar.

You have:
• At least 2 years' experience as an Administrative Professional in a client facing and busy role;
• Superior communication skills, ability to communicate effectively with clients and Realtors;
• The ability to work collaboratively with other staff as a team member while serving Realtor needs;
• The ability to think independently, deliver support and services quickly, under pressure and to a high standard of quality; and
• An additional area of expertise/qualification, including; finance; social media, ad planning and brand guidelines; CRM database, data manipulation and visualization.
