Responsibilities
• Receives approved work order / request for standard computer hardware from client
representative(s) or the Deployment Planner Scheduler.
• Manages computer equipment hardware that can be allocated from in-house stock:
o Allocates appropriate computer equipment hardware from storage location
o Arranges delivery of allocated computer equipment hardware from the storage
location to the staging location or to an address as stated on the work order.
• Manages computer equipment, such as additional computer options, sundry items or
non-standard computer equipment, that are ordered on a work request:
o Coordinates with procurement representative to monitor the delivery time for
when computer equipment hardware is being shipped to and received at the
staging location or to an address as stated on the work order.
• Coordinates work orders for computer equipment hardware that is being delivered to the
staging location:
o Confirms when all computer equipment hardware is received for each work order
o Initiates service request to assign Installation Technician to go to the staging
location to perform IT Hardware configuration and installation activities
o Receives notification from Installation Technician when IT Hardware
configuration for each work order is complete and that computer equipment
hardware is either re-packed and prepped for pickup by the in-house mailroom
for delivery to external site or been deployed for in-building setup installation, as
indicated in the work request
o For installations at a location that is not a staging location building, Deployment
Coordinator contacts end user to notify computer equipment is coming and to
confirm with end user when all IT Hardware has been received at the end user
location
o Contacts end user to schedule a date/time for the IT Hardware installation
o Initiates service request to assign Installation Technician to perform on-site
installation on scheduled date/time
o Act as a point of contact to re-schedule on-site installation when necessary (such
as when the availability of the end user or Installation Technician changes or
when there are delivery delays);
o Receives notification from the assigned Installation Technician when on-site
installation is complete, and if there are any unresolved issues; arranges to notify
the Deployment Planner Scheduler or authorized Representative for appropriate
follow up action as necessary
o Performs follow up with Asset Management staff within two weeks after the on-
site installation to confirm that any existing IT Hardware (replace request) from
end user location have been returned to the surplus location, where applicable.
• Maintains all scheduled and pending work requests and records relevant information.
o Information tracked include the work request number, date when work request is
received, date when computer equipment hardware is received at the staging
location (where applicable), date when computer equipment is received at an
address as stated on the work order (where applicable), dates when Installation
Technician is scheduled and completes pre-configuration work in the staging
location (where applicable), and dates when Installation Technician is scheduled
and completes the installation (where applicable);
• Works with the Deployment Planner Scheduler to manage and ensure that all work
orders are scheduled and completed within a timely manner, and to avoid potential
backlogs; escalates with appropriate authorized representatives as necessary to
address any issues that may arise.
Qualifications
2-5 years’ experience as an IMAC Coordinator
Solid technical knowledge of IT infrastructure and equipment, including hardware,
software, and networking.
Excellent communication skills
Experience with hardware repair or at least very good understanding.
