Responsibilities
• Receive all leasing inquiry calls, enter them in our database and dispatch
• Assist the Leasing team in all aspects of the leasing process (market studies, calls to the municipality, traffic studies, preparation of documents with the Marketing department, deal approval forms, supporting documents for Leases)
• Coordinate requests with our legal counsel (credit search reports, lease abstracts, statements, and other legal documents)
• Assist the Leasing team in drafting and modifying documents (Term sheet, LOI, minor modifications to Leases, adding schedules to Leases)
• Coordinate signature of all documents by CEO (commission agreements, LOI, Leases, amendments, waivers)
• Coordinate, track and file all legal documents
• Process commission invoices
• Manage Leasing contacts (Vcards)
• Manage and update Leasing reports and documents (leasing budget and objectives, vacancy report, leasing activity report, exclusivities report, no-build areas, pylons, reserved parking, renewals report, TI & commission report, shopping centre details including addresses, lot numbers, Landlord
registered companies, additional rent estimates, portfolios and LODs with the Marketing department)
• Manage condition deadlines and waivers
• Prepare prospective rent rolls
• Assist the VP leasing (management of calendar and meetings, expense reports, etc.)
• Assist with tradeshows and other Leasing events
• Assist in the coordination of any other related duties for the Leasing Department
Qualifications
• Great sense of organization and extreme attention to detail
• Dynamic and team player
• Strong time management skills, and ability to work under pressure
• Master the French and English language, spoken and written (required)
• Possess strong knowledge of Microsoft office suite (Word and Excel required)
• Minimum of 2 years’ experience in a similar role (required)
