Our client in Downtown Vancouver is looking for an amazing Office coordinator. Do you enjoy a busy environment where no two days are the same.

Duties
Assisting and organizing couriers
Supporting sales team
Answering the phone
Organizing travel for multiple team members
Ordering supplies
Coordinating IT support when necessary
Maintain administrative workflow
Meeting and event preparation; agendas, materials, and logistics
Proofreading of internal and external communication
Ensure that all customers maintain a current balance in Accounts Receivable
Review and correct Xerox XPPS billing, upload to SSI and send out to customers
Collect cheques (and contact customers if any errors), run bank deposits, apply payments in SSI
Run month end in SSI
Ensure new clients are added to the post sale email marketing list
Creating and updating Sales Board
Creating and organizing Kickoffs, including pulling all info together from all teams (including the Interior office)
Process new sales orders as they come in, provide tracking info, ETAs, pricing
Issue invoices for sales orders as soon as items are shipped
Providing pricing and availability to reps
Helping customers troubleshooting issues service won’t touch (there is a gap here, could be hugely beneficial to have someone who can provide IT support for these smaller customers)

* Office admin experience essential
* Strong excel and Office experience
* Excellent communication and adaptability
