Responsibilities
As an Operations Officer, your duties will include but not be limited to:
●Booking appointments, reaching out to clients, helping with appointment preparation, working on additional admin tasks, sending out email communication
●Working with financial planners – must have interpersonal skills and build relationship
●Providing a broad range of operational support and performing general to specialized transactions and/or other processing activities for its own Operations and Business Services function.
●Contributing to analysis/reporting on critical projects or special initiatives that strengthen our operating model/processes and elevate service quality.
●Executing transactions accurately, on time and in line with established guidelines/procedures while adhering to formal or informal Service Level Agreement(s) (SLAs)
●Referring or escalating processing or operational issues as needed based on a solid understanding of the issue, connecting with the appropriate function/partner to facilitate resolution and ensure that service quality is maintained
●Identifying opportunities to improve service delivery
●Supporting partners with incoming transactions, validating information as needed to perform adjustments within authority levels
●Interacting with partners by responding to requests in an effective and timely manner
●Prioritizing and managing own workload to meet Service Level Agreement (SLA) requirements for service and productivity
●Understanding internal and industry regulations and trends, remain informed of emerging issues and apply appropriate due diligence in adherence with operating policies/procedures
●Exercising discretion in managing correspondence, information and all matters of confidentiality; escalate issues where appropriate
●Supporting the timely and accurate completion of business processes
●Reviewing internal processes/activities and provide ideas for process improvement
●Investigating and escalating non-standard or high-risk activities as appropriate
●Adhering to enterprise frameworks and methodologies that relate to operations activities for their own area.
Qualifications
●High school diploma or GED required. post-secondary is required.
●5-7 years related experience in customer service field.
●Excellent Communication both written and verbal
●MS Office – Technical Proficiency
●Detail oriented
●Time management
●Attention to details - Ability to accurately document and record customer/client information.
●Interpersonal skills and build relationships
●Ability to work independently and manage one’s time.
Nice to Haves:
●Banking experience is an asset
●Contact center experience
●CSC security accreditation
●Knowledge of Financial Products (Investments)
●Speak Mandarin and/or Cantonese
