Responsibilities
As an Executive Assistant, your duties will include but not limited to:
•Supporting multiple layers of management - VP & SVP
•Booking meetings + managing calendar, submitting requisitions for equipment, organizing events, manage travel and claim processing.
•Providing dedicated administrative support to executives
•Providing a high level of administrative support ensuring quality service and professionalism at every customer interaction
•Managing efficiently in a multi-tasked environment and ensure deadlines are met
•Applying appropriate due diligence ensuring accuracy in preparing and promptly completing all required supporting documentation
•Scheduling and organizing meetings, including preparation and co-ordination by booking the facility, pre-mail, arranging required equipment, refreshments, etc., as required
•Maintaining proficiency with software applications/programs and/or department specific systems as required
•Managing and promptly responding to all incoming enquiries/requests for information independently or re-direct to the appropriate person/area
•Escalating issues where appropriate
•Prioritizing and managing own workflow to ensure quality and efficiency
•Taking initiative to identify and recommend improvements in own job function, research and/or investigate issues requiring resolution in order to execute on assigned tasks
•Performing other administrative assignments as required
Qualifications
•High school diploma or GED required. 2-4 years’ experience required
•Previous admin work – brings skills like organization, multitasking, planning, meeting deadlines and being proactive
•STRONG MUST HAVE – Strong understanding and grasp of MS Suites – Outlook, Excel (excel is used for documentation, managing events, managing a calendar based on Excel)
•Strong communication – verbal and written
•Ability to keep information organized and confidential.
•Ability to work independently and manage ones time.
•Strong customer service skills and interpersonal skills.
Nice to have:
•Previous work at company in a similar role
•Previous work as an EA
•Event management (lunch events/ townhalls – working with vendors, menu+ delivery)
