Responsibilities
•Provides high-level administrative assistance to 3 Directors
•Applies skills and analytical knowledge acquired through experience and ongoing learning to perform the more complex duties of the position.
•Works under limited supervision and executes own work planning. Initiates appropriate action to resolve routine to moderately complex problems. Escalates issues to management when appropriate.
•Full comprehension of the company's operation and procedures.
•Uses discretion, judgement and knowledge of organization to facilitate the executive's activities.
•Manages executives calendars end to end
•Creates collaborative processes with other administrative personnel to optimize cross-unit functions
•Builds effective and inclusive relationships with personnel at various levels
•Handles confidential information and communications appropriately
•Event planning, off-sites and team-building events
•Expense reports and purchase order creation
•Track and reconcile budget reports with department spending on a monthly basis
• Successfully plans and executes on-boarding for managers and/or direct reports
•Manage and update email distribution lists
•Track department initiatives, drive and follow-up on outstanding action items
• Create, maintain & update documents for department in Google suite
•Responsible for schedule management, office management, communication liaison, information preparation, company records management, data analysis, and representing the executive to others.
• Provides guidance to other employees regarding new methods, assignments or procedures
•Researches and analyzes data within the context of a project, departmental needs, or company direction and makes recommendations for improvements
•Multiple, complex calendar and travel coordination management for leaders
Qualifications
•Minimum 5+ years of experience
• Bachelors degree required
•Communicates clearly at multiple levels and with diverse audiences
•Proficient in a suite of standard office software
•Fundamental project management experience, including development of basic project plans and successful execution
•Organizational skills
•Experience working in a software organization a plus
•Demonstrated problem solving skills
•Experience managing high volumes of emails and direct messages
•Proven experience working in a fast-pace environment while providing superior service levels
•Must be proactive, take ownership, respond quickly, and have excellent follow through skills
•Exercises excellent judgment within areas of responsibility
•Handles multiple tasks, switches priorities and focus as needed
