Payroll Administrator

The Payroll Administrator will be responsible with all aspects of the payroll cycle and benefits
administration are processed in a timely and accurate manner, in accordance with Company and
government standards. The ideal candidate will have 3-5 years of relevant administrative and payroll, good organization skills, and the ability to multitask. Strong, clear, and timely communications, both internal and external to the site, is required for this position.

Payroll Administrator Responsibilities:
• Process timesheets and manage payroll reporting and activities including tracking of hours worked, overtime, vacation, banked days, sick time and leaves of absence, in accordance with the provisions of the Collective Agreement
• Ensure all data files are complete for transmission to E-time and ADP
• Coordinate all CBA annual increases and associated banks
• Provide back-up payroll data entry for Maintenance and Lab departments
• Calculate vacation pay rates and vacation allotment for all hourly employees
• Calculate final payout for departing employees - terminations and retirements
• Prepare quarterly vacation liability reports for accounting
• Prepare payroll documentation for promotions, position changes, and negotiated increases as per
union agreements - Calculates arrears where applicable
• Prepare payroll reports for supervisors as requested
• Assist payroll in resolving inquiries and discrepancies
• Provide administrative support to internal teams - including computer support, entering expenses in Concur, SAP support, meeting, employee functions and catering arrangements and other general support as required
• Coordinate and assist with the administration of the United Way campaign
• Manage site landline set up/removal, voicemail set up, etc. using the ShoreTel phone system
• Perform various administrative and clerical duties for other department managers as needed
• Create purchase requisitions for the blanket and standard PO’s for HR services and some annual plant services as required
• Verify invoices against service purchase orders, performs service entries\Goods Receipts
• Answer basic questions pertaining to employee programs, benefits and policies.
• Consult with HR and/or the Benefits and Retirement Specialists prior to responding to employees.
• Direct employees to the HRBP and Benefits and Retirement specialist for any related matters that
• cannot be answered at the site level
• On-board new employees using the onboarding platform in Ultipro as well as the New Hire checklist; maintain union employee’ seniority listing
• Process to communicate company policies, benefits, HR forms, etc.
• Request IT credentials and devices needed (computer/cell phone/access to folders) for new hires
• Provide statistical information for safety and sick time and absences tracking, HR filing system
• Other related duties as required

Payroll Administrator Skills and Qualifications:
• 3-5 years of relevant administrative, clerical and payroll in a fast paced and high volume experience
• Successful completion of a recognized Payroll Course or an equivalent combination of education, training and experience
• Advanced knowledgeable of business software including Microsoft Office, Excel Outlook
• Working knowledge of SAP and ADP –ezLabourManager strongly preferred
• Ability to work within a changing work environment with many interruptions and tight deadlines
• Strong interpersonal and communication skills, both written & verbal – ability to liaise at all levels
• Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
• Must be able to prioritize, plan and conduct work activities accurately and efficiently
• Dependable, self-starter and maintain a high level of confidentiality and exercise discretion
