Our client in Midtown Toronto is hiring a new face to join them on their front desk as a Contract to a permanent receptionist. The ideal candidate will be upbeat, friendly, with a can-do attitude! If the fit is right, our client is willing to consider permanency upon the end of the contract.

General Reception:
• Answers incoming calls, greets visitors, and for security purposes keeps track of who is in/out of the office.
• Directs visitors appropriately, offers/provides refreshments
• Keeps reception area clean, tidy, and free of safety hazards.
• Responsible for scheduling small boardroom & large boardroom bookings.
o Ensures boardrooms are kept clean and tidy
o May be asked to order food/refreshments
• Provides customer service to members and stakeholders through various channels (in person, phone, mail, web, etc.).
• Mail & Courier - Accepts courier packages, sorts and distributes incoming mail.
• Monitors inventory of supplies and orders office, kitchen, & meeting supplies as required. Orders supplies for office staff based on requests.
• Acts as liaison with building management for various issues.

Finance & Administration:
• Maintains staff attendance & vacation tracking spreadsheet.
• Provides staff (and visitors) with office orientation.
• Responsible for security access card administration.
• HR administrative support as required. May include preparing new employee forms, preparing new employee orientation
manuals, giving new employees a tour and introduction to staff, as well as explaining fire safety regulations
• A/R Payments – Process payments and apply to applicable invoices (Sponsorship, FoodWise Program, GR coalition
Recovery, Certification, Scanner Accuracy Labels, & Commissions).
• Code courier invoices for accounting.
• Prints and sends out past due statements (accounts receivable).
• Sales Payments – Process miscellaneous payments in the database.
• Maintains all filing of Accounts Payables and Accounts Receivables.
• Maintains various record spreadsheets for accounting
• Assists Finance Dept. with Expense Reports.
• Assists with the annual financial audit as required.

- 16.5/hr Pay Rate for the first 4 months post which once the role goes permanent a Salary of 40 K

-3 years experience in an office environment with administrative experience required
- Must have effective interpersonal and communications skills, both written and verbal
- Must possess strong customer service skills
- Ability to communicate effectively in English (oral & written) required – French an asset
- Experience using Microsoft Office products including Word, Excel, Outlook and PowerPoint required; contact management database experience an asset
-Accounting experience an asset
-Knowledge of Microsoft Dynamics 365 database an asset
-Knowledge of the retail industry and small business management an asset
-Must be capable of producing a high volume of quality work, within tight timelines
-Must be able to multitask and able to handle high volume of incoming requests on a daily basis
