Responsibilities
Assist in facilitating linkages, networks and relationships with stakeholders
Contributing to the development and implementation of communications and change management plans.
Communicating / coordinating with a large number of stakeholders to arrange meetings/workshops, for example confirming stakeholder availability, booking meetings, and other administrative / coordination task as required.
Participate in communications and orientation sessions, supporting on-going communication initiatives to raise awareness of business transformation initiative across OPS using communication materials such as articles, website content, presentations, surveys.
Help facilitate ministry’s engagement/change/training strategy, e.g. how we communicate with employees, what channels to use, what key message to communicate, what training support, etc.
Assist in preparation of briefing notes, background papers and reviews related to program delivery, and in the coordination of communication designed to provide ministries and clusters with message required to engage staff.
Collaborate with OPS contacts to reach subject matter experts and to deliver communication in the most effective ways for successful adoption.
Develop communication materials, such as memos, emails, and presentations.
Track and report back on issues and successes.
Track key performance indicators to measure the implementation success of the organizational change management plan and Communication plan.
Conducts research evaluations and surveys to track and report progress and achievement of change and program milestones
Help manage a shared inbox, OPS Intranet & other ministries’ communications tools including surveys.
Continuously build on their understanding of the value of the initiative to be able to convey this value to stakeholders.
Qualifications
Strong knowledge of organizational change management practices and the ability to coordinate implementation processes within the OPS-wide environment.
Has latitude to assist in the coordination of the implementation of People and Change Management and Communications Plan, coordinate and support training, rewards and recognition, coaching and provide implementation advice to management.
Expert in stakeholder communication and mediation skills.
Strong organizational skills to manage a high volume of communications and meetings coordination
Strong interpersonal and relationship management skills to establish working relationships, influence and support promotion of the project.
Strong oral and written communication skills to prepare reports, presentations, learning programs/materials, briefing notes and recommendations to senior management.
Strong presentation and persuasion skills to explain and help promote initiatives to various stakeholders.
Knowledge of financial management framework and planning, budgeting and forecasting within large organizations is an asset.
Strong computer skills / MS office and collaboration tools.
Have demonstrated knowledge of project management methodology and practices to assist with project planning components
Ability to analyse a range of information and data impacting the successful implementation of large-scale initiative by reviewing and commenting on corporate policies to ensure that the needs of OPS are addressed.
Have knowledge of I&IT business concepts, principles and emerging trends in the I&IT business environment affecting IT client business needs across the OPS.
Knowledge of program/policy theory, principles, business practices, methods and tools to provide project leadership for the design and development of program solutions.
Knowledge of leading-edge technology, I&IT Project objectives, corporate IT strategic plans, standards, and processes to support senior business transformation specialist.
Knowledge of ministry/branch mandate, legislative authority, objectives, operations, programs and services to provide expert consultation services to program/senior management and executives and to address evolving, complex and/or diverse needs, impacts and risks.
Knowledge of I&IT portfolio, program and project methodologies and related frameworks, processes, practices, techniques and tools to plan and coordinate OPS-wide business transformation initiatives dealing with I&IT portfolio, program and project delivery.
