We are currently seeking a reliable Receptionist / Office Facilities Coordinator to support the beautiful and modern office of a leading global provider of real estate and investment management services, located in the heart of downtown Montreal.



What does the Receptionist / Office Facilities Coordinator position in the real-estate industry located in Downtown Montreal have to offer?

• Salary of 40,000$ to 43,000$ (based on experience);

• Bright, modern, open-concept office space;

• Daytime work schedule from Monday to Friday (37.5h/week)

• Temporary-to-permanent opportunity for immediate start with access to a generous benefits package;

• Central, Downtown Montreal location with direct interior access to the metro and underground city.



What does a typical day as a Receptionist / Office Facilities Coordinator position in the real-estate industry located in Downtown Montreal look like?

In this role, you will be responsible for ensuring coverage at reception, facilities coordination, and administration of office services.

- Answer and redirect incoming calls, greet visitors, manage and distribute mail;

- Manage all incoming and outgoing messenger services and courier deliveries;

- Manage the schedules for all boardrooms and meeting rooms;

- Maintain the overall professional presentation of the office (keep reception, kitchen, lounge area clean and conference rooms clean, tidy and presentable);

- Coordinate company and client events;

- Work with IT and HR to coordinate and manage all office equipment and supplies including workstations, phones (mobile and desk) and computer equipment;

- Assist with the on-boarding and set-up for new-hires (office tours, security clearance, access cards, welcome letters, info packages, business cards, etc.);

- Receive and process vendor invoices;

- Maintain and update email distribution lists;

- Review cost and track office supplies and vendor stock, order as needed;

- Act as the main point of contact for Security, Building Management, Building Health & Safety and Fire Safety;

- Other administrative tasks as required.

- Excellent communication skills (English & French);

- Proficient with all MS Office tools;

- Excellent organizational and time management skills;
