Responsibilities
Health and Safety
• Comply with all Crossroads C&I and Occupational Health and Safety (OH&S) requirements.
Shipment Scheduling
• Maintain communication with the shipping department, fabrication department, purchasing department, and customer service department, while creating daily truck load and LTL shipping schedule.
• Review open customer orders. Monitor daily schedule to ensure efficient loading of the shipping department while ensuring customer requested shipping dates are met.
• Prepare documentation, maintain record, and coordinate logistics for product shipment.
• Ensure all shipping documents have been printed and are being controlled; conduct periodic audits on outstanding documents.
• Maintain shipping records, including providing tracking or shipping history information to customers on request.
• Generate shipping output documents and labels as required.
• Review previous days schedule to ensure orders have been shipped; follow up on orders that are still outstanding.
Office Operations
• Lead shipping office operations to ensure daily schedule is carried out
• Lead and direct dispatchers on picking scheduling and truck dispatching
• Assist warehouse supervision in resolving employee issues within the office
• Organize vacation schedules
• Train mentor, and orientate new employees to shipping office functions.
Daily Reporting
• Publish daily shipping schedule and capacity plan to company stakeholders.
• Communicates status of shipping activities as required.
• Compile and maintain daily, weekly, and monthly warehouse statistics.
• Communicate shipping volumes and priorities closely with the Warehouse
manager in order to optimize available resources.
Customer Service
• Provide exceptional customer service by developing good working relationships with all stakeholders in the business.
• Resolve customer problems and complaints as they pertain to shipping errors or delays to ensure customer satisfaction.
• Effectively lead cross-functional root cause and corrective action to resolve customer-related shipping issues.
• Communicate issues with orders to customer service department to ensure customer orders are fulfilled and shipped on time, or so that issues can be communicated to the customers in a timely manner.
Order Management
• Audit open order reports daily to ensure all invoicing is completed in a timely manner; follow up to with business processing centre to ensure this is accomplished.
• Stay up-to-date on all orders in the system and follow up on orders as they approach the requested shipping date.
• Reviews inventory position daily and weekly against outstanding orders and sales forecasts and takes action to expedite inbound shipments to meet customer demands
• Follow up on printed but not shipped orders on a daily basis.
Annual Physical Inventory Count
• Employees are expected to assist in the annual physical inventory count.
Qualifications
Skills:
• Possess strong organization and time management skills.
• Ability to solve problems and make decisions independently.
• Ability to deal with people effectively in many different situations.
• Possess excellent communication skills, both oral and written.
• Ability to work well under stressful conditions and meet deadlines.
• Strong Microsoft Office applications experience
• Experience working with a large MRP/ERP system to accomplish shipping activities
Knowledge:
• Strong knowledge of distribution, shipping and customer service.
• Knowledge of ISO systems
• Knowledge of workplace safety issues, both regulatory and company policy.
Abilities:
• Able to stand for long periods of time.
• Mathematical aptitude is beneficial.
Education:
• A post secondary education in supply chain management would be desirable
• Training in Microsoft Office would be beneficial.
• Oracle ERP system experience
Experience:
• 2 to 5 years in a scheduling role
• Previous experience operating in an ISO structured environment
• Experience analyzing data
