Review in-house and design Consultant Specification submissions, and identify errors, omissions, or discrepancies for review and action by the SS/Ss.
Review document prepared by Procurement and Category Management (PCM) Department staff (i.e., Procurement and Contract Specialists), and identify administrative discrepancies for the SS/Ss review and action.
Coordinate drawing sheet numbering for in-house designed contracts with Engineering Department staff.
Number of reference drawings to comply with ECE Document Control requirements.
Assemble drawings for issue for bid.
Verify contract drawing and reference drawing titles and numbers in the drawing index match those on the actual drawings.
Assemble the Project Manual, incorporating Technical Specifications, sketches, schedules, and appendices, prepare the Table of Contents and Drawing List, and proofread an entire document for the correct and complete assembly of all components.
Ensure inclusion of Division received from PCM Department at issue for bid.
Under the direction of the SS/Ss, provide administrative support for the preparation of Addenda and Contract Changes to amend the project manual or drawings.
Provide administrative support to ensure Addenda and Contract Change documentation is in conformance with document formats and procedures.
Assist with the coordination of information transfer with Engineering Department staff, Construction Department staff, and PCM Department staff to ensure that each Addendum or Contract Change is correct and complete.
Adhere to completion deadlines.
Provide check for administrative completeness and correctness of Addenda and Contract Changes.
Provide administrative support to Standards Section for controlled Engineering Department documents on an as-needed basis.
Ensure documents are maintained in a secure environment.
Word process and proofread Design Manual and Master Specification documents for accuracy and completeness of the content, for technical terminology, defined terms, etc., in conformance with the required format, as well as for grammar, spelling, and punctuation.
Qualifications Required
Completion of post-secondary education in a relevant discipline, or the equivalent combined with several years of similar or related work experience in an engineering and/or construction environment with exposure to architectural, structural, mechanical, electrical, and civil disciplines.
Shall have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders, including disability accommodation and accessibility requirements pertaining to passengers and employees.
Shall have or acquire a thorough knowledge of departmental policies, procedures, guidelines, and office routines relating to assignments.
Excellent organizational abilities are required to work on a number of tasks concurrently and handle a large volume of work under tight deadlines.
Detail-oriented and able to produce error-free documents
Computer literate, with expert skills in word processing applications (e.g., MS Word), and intermediate level skills in spreadsheet and database applications and PDF software (e.g., Excel, SharePoint, Adobe Acrobat, etc.)
Possess well-developed interpersonal skills.
Ability to clearly communicate in English, both verbally and in writing
Excellent English language spelling, grammar, and proofreading skills.
Sound knowledge of office administration methods, practices, procedures, and equipment
Possess good working knowledge of technical terminology pertaining to engineering and architectural design, construction, and the bidding process.
Self-starter and able to work with minimum direction, and able to use initiative to determine and organize work priorities.
Familiarity with the structure and operations of the company and specification writing.
Thorough knowledge of Construction Specifications Canada (CSC) specification writing and construction document formatting practices, acquired through the completion of CSC's Principles of Construction Documentation course.
Problem Solving and Analysis Shall be able to recognize, define and understand problems, and establish workable and effective solutions.
