Administrative support:
Provides general administrative support to Facilities Engineering & Wells department teams.
Onboarding/Offboarding, including training of Company systems as required.
Coordinate meetings, appointments, planning events/meetings, ordering office supplies, and catering services, maintaining files, badging credentials for any visitors and contractors.
Provides calendar management support for Managers
Coordinates international and domestic travel arrangements and provides detailed itineraries and background information for meetings and trips.
Manage purchasing card expenditures, reconciliation, and reporting.
Independently completes assigned projects by gathering, organizing, and summarizing information and preparing documents from general instructions.
Interfaces effectively with high-level executives, project teams, executive assistants, administrative professional partners, and internal and external customers.
Uses Microsoft Office 365 applications to create and maintain documents, spreadsheets, and slides (Word, Excel, PowerPoint, Project, Teams, OneNote, SharePoint).
CMS Admin – manage training in CMS & Workday Learning Management System, provide course information, record course completions, and conduct routine reporting.
General technical support:
Troubleshoot access (through Identity & Access Management Portal) and remedy issues for apps including WellView, SharePoint/Teams & other internal and external web-based systems
Preparation for audits
Document updates and revision control for signing officer, management of change logs, development, and maintenance of engineering compliance tracking sheets.
Develop & maintain database of engineering calculations and reports.
Provide SharePoint support; design new and existing sites, manage files, create categories using meta data, update, and review permission groups.
Backup support to Compliance Assurance Technologist.
Cost Management:
G&A and Project cost tracking
Process project and departmental invoices and receipts
Update contract estimating templates and prepare cost estimates.
Metrics & Reporting:
Automation sequencing to produce customized operations reports, create custom reports, monitor project statuses and follow-up on actions,
Use of PowerApps, PowerAutomate and UIPath Orchestrator.
