In this essential role, you will serve as the central point of contact and the welcoming face of our client’s office. Aligned with the O-NET classification for Secretaries and Administrative Assistants, you will deliver high-level business administration support, ensure office efficiency, and coordinate essential staff activities. Responsibilities
• Welcome guests and direct visitors to the appropriate person or office while maintaining a presentable reception area.
• Answer, screen, and forward phone calls, take messages, and ensure professional communication.
• Handle mail and delivery logistics by receiving, sorting, and distributing packages, as well as tracking outgoing courier shipments.
• Monitor, order, and distribute office supplies and manage relationships with equipment vendors.
• Support the President directly by assisting with copying, formatting, and creating sensitive documents.
• Collaborate with the engineering team to prepare, duplicate, and organize technical documentation.
• Maintain the cleanliness and organization of the office kitchen to ensure a welcoming environment for staff and guests.
• Perform light physical tasks as needed for office supply management, including lifting items up to the weight of a flat of pop.
• Implement and maintain physical and digital filing systems in compliance with record retention policies.
• Schedule meetings, appointments, and project-related travel, including arranging lunches and vendor lunch-and-learns.
• Optimize daily productivity by implementing and maintaining efficient office systems and workflows.
Qualifications
• 2+ years of experience in a receptionist, office administrator, or administrative support role (minimum 1 year of dedicated receptionist experience and 2 years of administrative experience required).
• Secondary School diploma is required; a certificate or diploma in Business Administration or equivalent is highly preferred.
• Intermediate skill level in computer applications including MS Word, MS Excel, and PowerPoint for document creation.
• Ability to comfortably perform light office cleaning (kitchen area) and light lifting (up to the weight of a flat of pop).
• Willingness and adaptability to assist executive leadership and technical engineering teams with administrative tasks.
• Ability to reliably commute to the office location in Calgary, AB (T2P 3H5) for full-time, in-person work.
• Flexible language requirement: French is not required for this role.
