Reporting to the Manager of Client Service, you will provide specialized administrative support in a fast-paced, client-oriented environment. This role is split between front-facing reception duties and back-office operational support. You will be the primary point of contact for high-net-worth clients while ensuring the branch remains compliant with rigorous audit and regulatory standards.
Work Location: 100% Onsite – Kelowna, BC.
Schedule: Monday to Friday, 8:00 AM – 4:00 PM.
Start Date: May 2026.

Responsibilities
Branch Operations & Management Support
Executive Support: Assist the Branch Management team (3 managers) with day-to-day administration and operational functions for a floor of 40+ professionals.
Compliance & Audit: Implement and communicate regulatory/compliance activities; maintain branch filing systems to ensure audit readiness.
Premise Management: Coordinate all building issues, system access, IT support, and equipment needs. Manage the Business Continuity Management (BCM) plan.
Financial Admin: Handle the submission of invoices and identify areas to reduce expenditures for the branch.
Client Experience & Reception
First Impressions: Greet high-net-worth guests and respond to requests with professionalism and "legendary" service quality.
Communications: Manage the branch phone lines, directing calls and resolving client requests efficiently.
Logistics: Control the distribution of all mail (incoming/outgoing), couriers, and reports.
Boardroom Management: Coordinate the boardroom schedule, including meeting setup and catering requests.
Qualifications
Mandatory Requirements
Experience: 1–2 years of overall professional experience, ideally in an administrative or service-oriented role.
Technical Skills: Proficient with MS Office Suite (specifically Excel for spreadsheets) and a general high level of tech-savviness.
Communication: Excellent verbal and written communication skills with the ability to manage high-level stakeholders.
Competencies: Resourceful problem-solver who takes initiative; highly organized with a focus on detail and accuracy.
Education: High School Diploma mandatory; must be willing to learn and read complex compliance manuals.
Preferred Qualifications
Education: Undergraduate Degree or Community College Diploma in Business.
Industry Interest: Completed or pursuing industry-related courses (CSI, etc.) is a strong asset.
Background: Experience working with high-net-worth clients or within a banking environment.
