Responsibilities
Client & Institutional Communication: Act as a key point of contact, communicating professionally with clients, prospective clients, and various financial institutions.
Correspondence Management: Draft, review, and distribute professional emails, formal letters, faxes, and required financial forms.
Financial Transaction Support: Provide administrative assistance with the processing of day-to-day financial transactions.
Marketing & Event Coordination: Assist in the planning, creation, and execution of educational seminars and other corporate marketing activities.
Data & File Maintenance: Maintain up-to-date client files, manage internal contact lists, and document all client- and business-related activities.
Office Operations: Maintain the physical and electronic filing systems, uphold standard office procedures, and complete collaborative team tasks as needed.
Qualifications
Experience: Prior experience working as an administrative assistant, executive assistant, or office assistant is considered a strong asset.
Technical Proficiency: Advanced knowledge of the Microsoft Office Suite, specifically Excel, Word, and PowerPoint.
Communication Skills: Exceptional written and verbal communication skills with a strong emphasis on professional etiquette.
Workflow Management: Excellent time management and organizational skills, with a proven ability to prioritize heavy workloads and consistently meet strict deadlines.
Problem-Solving & Detail: Acute attention to detail paired with strong analytical and problem-solving capabilities.
Work Style: A positive attitude, a strong willingness to learn, and the ability to work independently while taking proactive initiative.
Adaptability: High capacity to adapt quickly to changing environments and shifting priorities.
