Core Responsibilities:
Customer & Office Support:
- Greet showroom visitors, handle incoming messages, distribute sales leads, and assist with general office administration and mail.
- Order Processing & Scheduling: Process customer quotes and orders, assist with installation/service scheduling, and provide backup coverage for emergency requests.
Financial & Compliance Support:
- Verify customer invoices, process credit card receipts, assist with aging accounts reports, review timesheets, and assist with Health & Safety records.
Qualifications & Key Skills
- Experience: 2+ years of administrative or customer service experience (construction, manufacturing, or distribution environment preferred).
- Education: High school diploma required; post-secondary education in business or a related field is an asset.
- Skills: Proficient in Microsoft Office; experience with CRM/ERP software is a plus. Strong communication, organization, and multitasking abilities.

* Welcome customers and visitors with a professional showroom meet-and-greet experience.
* Answer and manage general voicemail messages, directing inquiries to appropriate team members.
* Coordinate and distribute incoming lead opportunities.
* Process hardware store quote orders accurately and promptly.
* Prepare residential quotations where applicable.
* Conduct customer follow-ups to ensure satisfaction and support ongoing sales opportunities.
* Manage online customer feedback and review platforms.
* Prepare and send customer thank-you cards.
* Maintain customer promotional packages, brochures, and showroom marketing materials.
Operations & Scheduling Support

* Verify customer invoices for accuracy.
* Assist with month-end administrative activities.
* Review and monitor aging accounts reports.

* Maintain accurate customer notes and statements within the internal system.
Compliance & Team Support
* Review, manage, and verify employee timesheets.
* Coordinate employee certifications and maintain up-to-date training records.
* Support Health & Safety programs and associated documentation.
General Office Administration
* File and maintain electronic documents within business systems.
* Manage inbound and outbound mail and courier services.
* Maintain office supplies and showroom materials stock.
* Support team engagement initiatives and workplace social activities.
* Perform additional administrative duties as assigned.
Qualifications
* Experience: 2–3 years of administrative or customer service experience. Experience within a construction, manufacturing, service, or distribution environment is considered an asset.
* Education: High school diploma required; post-secondary education in Business Administration or a related field is preferred.
