We are currently hiring a Administrative Coordinator to work for a fully remote company in the education sector . This will be a 5 month contract opportunity. The ideal candidate will have a strong administrative background and possess the professional skills necessary to interact with internal and external stakeholders in a courteous and professional manner. Great attention to detail and the ability to work well under pressure are required for this role.

Advantages
• $25 - $30/hr based on experience

• Monday to Friday, 8:30am - 5:00pm with a half hour lunch

Responsibilities
• Process online applications and registrations for educational programing.
• Receive and process program forms and submissions for accuracy and completeness of required information and follow up with applicants on missing documents and/or incomplete files.
• Respond to program-related inquiries to provide information and updates and escalate to Supervisor as needed.
• Create and communicate program calendars and session schedules in collaboration with Instructors, Supervisor and other stakeholders.
• Maintain the Department’s program-specific databases, including developing user guides and workflow processes.
• Maintain records of licensees within the program-specific databases. Respond to requests for information on applicant/licensee’s program status. Cross-reference the database to produce reports and verify information.
• Coordinate the accreditation review process, update the accreditation database and work with the Communications team to update the College website weekly.
• Draft and distribute a variety of written communication materials to relevant stakeholders including email, internal and external correspondence, forms, program schedules, purchase orders, website content, reports, and presentations.
• Collaborate with the supervisor and/or PREP management team to develop and report on program/project metrics and process standards to inform quality assurance process.
• Provide coordination support to the Department (e.g., maintain departmental mailbox, schedule meetings, prepare agendas, take minutes, circulate materials and maintain the filing system).
• Coordinate the development of operational and administrative processes and tools (e.g., email templates, process manuals, database reporting templates) for programs administered by the Department.
• Identify and document process improvement opportunities related to the Department’s operational processes and communicate suggestions to the team.
• Acquire and maintain knowledge of the College’s policies, regulations, and strategies, and keep up to date with relevant developments, applicable legislation, trends and best practices.
• Collaborate with internal stakeholders to ensure the College meets and delivers on its legislative compliance requirements without delay.
• Other duties as assigned.
Qualifications
• College Diploma.
• 1 to 3 years of experience working in an administrative field.
• Experience in data maintenance, reporting and spreadsheets to provide cyclical and ad-hoc metrics supporting analysis, including trending, forecasting and identification of sub-groups
• Bilingual in English and French (where required). What level? Not necessaery
• Time management and prioritization skills to manage conflicting demands and commitments.
• Organizational skills and attention to detail to keep track of administrative processes for the Department and ensure accuracy and completeness of documentation.
• Flexibility to work in a fast-paced changing environment as a collaborative team player who demonstrates initiative.
• Interpersonal and stakeholder relationship management skills to represent the College as the first point of contact and respond to general inquiries from internal and external stakeholders.
• Tact and discretion to work on confidential and sensitive matters.
• Written and verbal communication skills to draft communications and communicate with programming applicants.
• Knowledge of office/administrative software.
