Responsibilities
- Review customer files and document packages to confirm that all required forms and basic details are present.
- Enter and update customer information accurately in internal tracking spreadsheets and computer databases.
- Check customer paperwork against routine administrative screening checklists.
- Identify missing paperwork, incomplete forms, or clerical discrepancies and flag them for follow-up.
- Organize, rename, and save digital files following standard corporate filing conventions.
- Monitor team inboxes and help answer routine administrative questions regarding file status.
- Escalate complex customer files or unusual documentation questions to senior team members.
- Keep track of completed daily files to help the team meet routine weekly workflow targets.
Qualifications
Prior experience in general office administration, data entry, or clerical support is considered an asset.
- Experience working in banking, insurance, or general financial services is an asset.
- Familiarity with basic office filing, document checking, or routine customer verification is a plus.
- Post-secondary education in business administration, office management, or a related field is preferred.
- Strong proficiency with everyday computer tools, including Microsoft Excel, Word, and Outlook.
- Good organizational skills and comfort handling routine paperwork and high volumes of digital records.
- Clear written and verbal communication skills for everyday collaboration with teammates.
- Dependable work ethic with respect for customer confidentiality and office recordkeeping guidelines.
