Responsibilities
• Provide quality customer service throughout the duration of the project
• Create and place orders into our ERP system and gather all necessary administrative documents to open files
• Verify customer credit and ensure production timelines align with project deadlines
• Submit equipment orders for production and modify them if required
• Contact clients to collect all relevant information to ensure smooth order delivery
• Issue denunciation forms when necessary
• Communicate with transport companies and coordinate deliveries from factories to job sites
• Handle project invoicing and act as a liaison with the Accounting department for client billing
• Ensure supplier invoices are accurate, approve them, and enter them into the ERP system
• Perform any other related business administration tasks required
Qualifications
• DEP or Diploma in office administration, business, or a related field
• 1 to 3 years of experience in a Project Administrator or similar administrative position
• Ability to work full-time (37.5 hours per week) in Markham
• High level of autonomy and a proven track record of meeting strict deadlines.
Skills
• Bilingualism; excellent command of both French and English (spoken and written)
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
• Familiarity with ERP systems is considered a strong asset
• Understanding of basic accounting principles including billing, inventory, and payables
• A strong passion and drive for excellence in customer service
• Excellent organizational and time-management abilities
• Ability to work well under pressure and meet tight deadlines
• Strong analytical and problem-solving skills to make informed decisions
• Ability to adapt quickly in a changing business administration environment
