The Commercial Real Estate Administrator role is a premier entry-level opportunity designed specifically for motivated "New Grads" or recent Co-op students. Based in the heart of Calgary (with secondary considerations for Edmonton or Toronto), you will join the Real Estate & Workplace Services (REWS) team to help manage a massive, diverse property portfolio. This is a 1-year contract position with a possible extension.
To ensure the best collaborative experience and hands-on mentorship, this role follows a Hybrid work model, requiring 3 days per week on-site at our Calgary Fifth Avenue Place office. As a Commercial Real Estate Administrator, you won't just be pushing paper; you’ll be at the intersection of Finance, Legal, and Technology, gaining exposure to complex lease lifecycles and high-level corporate operations.

Responsibilities
As the Commercial Real Estate Administrator, your day-to-day will involve:
• Systems & Data Management: Maintain accurate lease and financial data within the Tango platform and support the transition of U.S. utility data into Oracle Cloud.
• Financial Administration: Assist with processing rent payments, tracking brokerage commissions, and managing subtenant billing. You will also support annual operating cost reconciliations (CAM/OpEx) and lease audits.
• Compliance & Documentation: Support lease accounting under ASC 842 standards, coordinate documentation for property acquisitions/sales, and track insurance certificates for landlords.
• Operational Support: Set up new suppliers in ERP systems (Oracle/SAP), monitor lease expiry dates, and flag potential landlord performance issues for review.
• Collaboration: Act as a bridge between internal departments and external brokers to ensure all deliverables are met on time.
Qualifications
Must Haves:
• Education: Post-secondary degree in Business, Commerce, Accounting, Real Estate, Finance, or Urban Studies.
• Experience: Previous Co-op, internship, or project experience involving data management, finance, or business operations.
• Tech Savvy: Ability to quickly learn and navigate multiple complex software systems.
• Communication: Clear verbal and written communication skills with a team-oriented mindset.
• Organization: Exceptional attention to detail and the ability to manage deadlines in a fast-paced corporate environment.
Nice to Haves:
• Experience with ERP platforms such as Oracle Cloud, SAP, or Oracle R12.
• Exposure to lease tools like Tango, CoStar, or Yardi.
• Intermediate Excel skills (VLOOKUPs, pivot tables, data cleaning).
• Familiarity with basic real estate or lease terminology.
