As the Compliance Specialist, you will be the central point of contact for all compliance-related inquiries and complaints. Your primary duty is to manage the entire intake and review process from start to finish.
You will be joining a dedicated, team-oriented department and reporting directly to the Director, Compliance. This position offers a competitive salary and a hybrid work schedule (available after a probationary period), providing an excellent work-life balance. Responsibilities
- Handle the complete intake of all compliance matters, ensuring accurate and prompt logging in the system.
- Conduct preliminary reviews of complaints to categorize and prioritize them based on severity and urgency.
- Efficiently triage all compliance matters, directing them to the appropriate department or personnel for potential further investigation.
- Maintain detailed, accurate, and confidential records of all complaints, compliance issues, actions taken, and final outcomes.
- Prepare and manage stakeholder communications, ensuring clarity and professionalism, including the drafting and sending of Notices of Investigation (NOI).
- Create and maintain comprehensive compliance files (both electronic and paper), supporting investigators as needed.
- Prepare regular reports on complaint and compliance matter status, providing insights and recommendations to senior management.
- Ensure all compliance practices strictly adhere to relevant laws, legal standards, and regulations.
- Participate in mandatory training programs to stay current with compliance requirements and best practices.
- Contribute to the creation, development, and review of legal and compliance policies and procedures.
- Perform follow-up activities resulting from compliance meetings and other duties as required.
Qualifications
- High School diploma is required.
- Post-secondary education in a related field, such as Business Administration
- A minimum of 3 years' experience in a professional office environment is required.
- High proficiency with PC computer systems and the full MS Office Suite (Excel, Word, Outlook).
- Strong analytical skills and exceptional attention to detail are crucial for this role.
- Highly organized with a proven ability to manage multiple priorities and deadlines effectively.
- Self-motivated with excellent problem-solving and critical-thinking abilities.
- Demonstrates a strong work ethic, personal integrity, and unwavering dependability.
- Extremely punctual and reliable.
- Excellent communication skills (both written and oral) to convey information clearly, concisely, and professionally to various stakeholders.
- Proven ability to multi-task effectively in a busy environment without compromising concentration or accuracy.
- Good typing skills and a high degree of accuracy in data entry.
- A positive, collaborative attitude and strong interpersonal skills to interact positively with team members and stakeholders.
- Absolute commitment to maintaining strict confidentiality, which is essential in a legal and regulatory environment.
